Event Project Manager

About the Job

De’Veilope Event Consulting and Design is searching for an experienced Event Project Manager.  This individual will assist and report to the Chief Executive Officer.  The Event Project Manager will manage production from concept through completion and help maintain the company’s reputation for memorable events.  They will work closely with the staff and events team managing daily administrative responsibilities including but not limited to calendar management; event logistics; project management; and event planning.  The ideal candidate is passionate, creative, detail-oriented, and dedicated to providing superb client service at every turn.

  • Must be flexible to travel, as needed.

  • Able to walk and stand for extended periods of time on event days.

Job Responsibilities

  • Foster relationship with potential and existing staff, vendors, and clients

  • Build and maintain a comprehensive database of industry contacts, vendors, and venues.

  • Manage bookings, files, phone calls, and emails with clients and vendors.

  • Attend meetings (i.e., virtual or in-person) with Lead Planner, Designer, staff, clients, and/or vendors, as requested.

  • Manage client experiences from onboarding through post-event review; manage on-site preparations, production, and event breakdown; and ensure consistent, high-level service throughout all production phases.

  • Identify resources, conduct site visits, and lead pre-event meetings to help Lead Designer, staff make decisions about event design and execution.

  • Assist with developing and managing client proposals, inspiration boards, contracts, timelines, checklists, budget, and all pre-planning duties.

  • Create and manage Event Day documents (e.g. Production Sheets, Timelines, Charts, etc.) using Microsoft Word, Excel, Google Sheets, and Google Docs for staff, clients, and vendors

  • Plan and facilitate logistics for all events, including contract negotiations, guest lists, venue preparation, presentation materials, security, catering, entertainment, transportation, equipment, and décor.

  • Provide leadership and interface with venue personnel including but not limited to Venue Manager, Operations/Maintenance, Housekeeping, Guest Services, etc.

  • Industry knowledge focused mainly on event design and production.

  • Assist with managing event design execution on event days.
